Privacy Policy

Vaz Preparatory School Past Student Association, Florida Inc. ("VPSPSA," "we," "us") operates this website at vpsalumni.org. This policy explains what personal information we collect, why we collect it, who else sees it, and what you can ask us to do with it. It is written to be read rather than to be survived.
Who we are
VPSPSA is a 501(c)(3) nonprofit corporation registered in the State of Florida, EIN 20-8175233. We are an alumni association supporting Vaz Preparatory School in Kingston, Jamaica. We are run by volunteers.

What we collect, and when
When you fill in a form. We have three forms on this site: a membership and contact form on the Join Us page, a Get Involved form on the Digital Divide page, and a sponsorship enquiry form on the 75th Anniversary Gala page. Between them they ask for your name, email address, telephone number, city and country, the organization you represent, your connection to the school and the years you attended, how you would like to help, and whatever you choose to write in the open text boxes. Only your name and email address are ever required. Everything else is optional, and leaving a field blank has no consequence.
When you donate. Donations are processed by Squarespace Payments. We receive your name, email address, billing address, donation amount, the fund you selected, and whether you chose to cover the processing fee. We never receive or store your full card number. That information goes directly to the payment processor, which is subject to the payment card industry's security standards. If you pay by bank transfer, the processor handles your account details on the same basis.
When you ask for updates. Each of our forms carries an optional checkbox for news and updates. It is unticked by default and it stays unticked unless you tick it. We do not treat any other action — donating, buying a ticket, sending an enquiry — as permission to add you to a mailing list.
When you simply visit. Our website platform, Squarespace, records standard visitor statistics: pages viewed, approximate location derived from your IP address, the site or search that sent you, and the type of device and browser you used. This is collected on every Squarespace website and we cannot switch it off. We use it to understand which pages are read and which are ignored. We have not installed Google Analytics, an advertising pixel, or any other third-party tracking on this site.
Cookies
A cookie is a small file a website stores in your browser. Some are necessary for the site to work at all — they keep your session alive, protect forms against forgery, and remember that you have dismissed a notice so it does not reappear on every page. These cannot be declined without breaking the site.
Squarespace also sets a small number of analytics cookies, named ss_cid, ss_cvr and ss_cpvisit, which last up to two years, and ss_cvisit and ss_cvt, which expire after thirty minutes. Their purpose is to tell one visitor apart from another so that visit counts mean something. They do not follow you to other websites and they are not used for advertising.
You can clear or block cookies through your own browser settings at any time. Doing so will not prevent you from reading the site or using the forms.
Video
Some pages embed videos hosted on YouTube. When a page containing an embedded video loads, YouTube may set its own cookies and receive your IP address, under Google's privacy policy rather than ours. We use YouTube's privacy-enhanced embedding where it is available. If you would rather not be seen by YouTube at all, do not play the videos.
Why we use your information
We use what you give us to do the thing you asked for: to reply to your enquiry, to process your membership, to acknowledge and receipt your donation, to send you the sponsorship booklet you requested, to arrange the collection of equipment you have offered, and to keep a record of the association's supporters and members as any membership organization must. If you ticked the updates box, we also use your email address to send you occasional news. We use aggregate visitor statistics to improve the website.
We do not sell your personal information. We do not rent, trade, or share it with anyone for their own marketing purposes. We have never done so and we do not intend to start.
Who else sees it
Running a website means using other companies, and honesty requires naming them. Squarespace hosts this site and stores form submissions. Squarespace Payments, and Stripe as its underlying processor, handle donations. Google Workspace provides our email, so anything you send us is stored in Google's systems, and our form submissions are delivered to a Google mailbox. Where we use spreadsheet or drive storage for a membership roster, that is Google as well.
Gala tickets are sold through Eventbrite for buyers in the United States and Canada and through TouchstoneLink for buyers in Jamaica. When you buy a ticket you are transacting with those companies on their own terms and under their own privacy policies, not ours. We receive an attendee list from them. Hotel accommodation is booked directly with Marriott through a group link, and we receive nothing from that at all.
Beyond those service providers, your information is seen only by the VPSPSA volunteers who need it — the membership secretary, the committee member chasing a sponsorship, the treasurer reconciling a donation. We will disclose information to someone else only where the law requires it, or where it is necessary to protect someone's safety.
Photographs
This website publishes photographs of alumni, students, staff and guests at school and association events. We publish images of current students only with the approval of Vaz Preparatory School, and we deliberately do not identify children by name in image descriptions or in the underlying code of the page, whatever the approval position.
If you appear in a photograph on this site and would prefer not to, write to info@vpsalumni.org and tell us which page. We will take it down. You do not have to give a reason and we will not ask for one.
How long we keep it
Membership and donor records are kept for as long as you are involved with the association and for seven years afterwards, which is what charity accounting and tax record-keeping require. General enquiries are kept for two years. Mailing list entries are kept until you unsubscribe. Visitor statistics are retained by Squarespace on its own schedule and are not tied to you by name.
What you can ask us to do
You may ask us for a copy of the personal information we hold about you, ask us to correct anything that is wrong, ask us to delete it, or tell us to stop emailing you. Every one of our emails carries an unsubscribe link, and unsubscribing takes effect immediately. If you would rather write, info@vpsalumni.org reaches us and we will answer within thirty days.
Depending on where you live, you may have these rights as a matter of law rather than as a matter of our goodwill — that is the case in the United Kingdom, the European Union, California and several other US states. We extend them to everyone who asks, wherever you are, because drawing a line through our own alumni on the basis of geography would be a strange way to run an association.
The only request we may have to refuse is deleting a donation record, because tax law requires us to keep it. If that arises we will tell you plainly which record we are keeping and why.
Children
This website is intended for adults. We do not knowingly collect personal information from anyone under 13 through our forms. If you believe a child has submitted information to us, write to info@vpsalumni.org and we will delete it.
Security, stated honestly
This site is served over an encrypted connection. Form submissions and payment data travel encrypted. Our email is protected by authentication records that make it substantially harder for anyone to send mail pretending to be us. Access to our systems is limited to the volunteers who need it.
What we will not tell you is that your information is perfectly safe, because no organization can honestly say that. What we can say is that we hold as little as we can, we do not sell it, and if something goes wrong that affects you, we will tell you.
Where your information goes
VPSPSA is based in the United States and our service providers are largely US companies, so if you write to us from Jamaica, Canada or the United Kingdom your information will be transferred to and stored in the United States.
Changes to this policy
If we change this policy we will update the effective date at the top. If a change materially affects how we use information you have already given us, we will say so on the website rather than hope you notice.
